All attendees travelling to Germany must present an approved travel document (passport or identity card) and attendees from many countries will require a visa to enter the country. Attendees are encouraged to apply for visas as early as possible, and to ensure all requested documentation is submitted with the application. A list of countries requiring a visa can be found here.

A request for a visa letter of invitation can be submitted during registration. Visa invitation letters will be produced by the HP Visa Agency and forwarded directly to the attendee. Visa invitation letters will only be provided when full payment has been received for your conference pass and all visa letter information has been submitted via the registration process.

Visa invitations will be issued for a two-week period, Thursday, 29 November to Wednesday, 12 December, and may not be extended. It is the attendee’s responsibility to contact their local consulate regarding the lead time for visa processing. Visa invitation letters will be issued seven to nine working days following the receipt of full payment for conference fees and completed information.

In order to ensure visas can be processed in time for the event, we recommend that visa letter information and full payment be submitted no later than 19 October 2012, this date may be earlier dependent upon local consulate requirements. Requests received after this time will be processed in good faith, however timelines cannot be guaranteed.
